A spreadsheet might be exactly the right tool for managing your patents today. It might also be the thing quietly putting your portfolio at risk. Both can be true, and the only way to know which one applies to you is to be honest about where you are. The choice between a spreadsheet, a legacy IPMS, and the best IP management software for your team is really a choice about what your portfolio needs right now.

For a solo in house counsel or a founder watching the patents while running a company, a clean spreadsheet often works for a long time. A small portfolio, one owner, deadlines that fit in a column you check often enough that nothing slips. When the data lives in one head and the volume is low, real software buys you very little. If you can name every case and its next deadline from memory, the spreadsheet still fits.

A shared sheet tends to break in the same four places every time. Patent families have a shape a row cannot hold, so the relationships that drive strategy get faked with color codes that fail the week their author goes on vacation. Renewals arrive on schedules a sheet will record but never warn you about. Board reporting becomes a summary you rebuild by hand every quarter. And the audit trail you would need to prove a date was tracked is not there.

The honest signal that you have outgrown it usually is not a missing feature. It is the first night you lie awake unsure whether a deadline is covered. They will tell you a renewal is due. They will not tell you whether it is worth renewing.
